Registration forms and templates

Two kinds of question — once per booking, and once per attendee — and how they reach your event.

Every event asks something — dietary requirements, shirt size, which session you want, a phone number for the day. A form template is where you write those questions once so you can reuse them for every event, instead of rebuilding the same form each summer.

A template belongs to one community and has a name and short description, so whoever creates an event can tell them apart. Everything else is the questions — and those come in two distinct groups, which is the part worth understanding properly.

These questions are answered a single time, no matter how many places are being booked. They are about the booking itself and the person organising it — the one you would phone if something changed.

  • Who is booking, and how to reach them.
  • Anything that applies to the whole booking — “How did you hear about us?”, “Which branch are you with?”
  • Notes or requests about the booking as a whole.

Add this section when you need something about every person walking through the door, not just the booker. If someone books three places, they answer these questions three times — once per person.

  • Each attendee's own name, so your door list is a list of people rather than bookings.
  • Per-person requirements — meal choice, shirt size, age group, accessibility needs.
  • Anything a badge or a certificate needs printed on it.

Three field types exist only in Attendees Info, and each can be added just once per template:

Attendee-only field types

Mobile numberOptional
Each attendee's own number. Also used to recognise existing community members, which is how member-only pricing and discounts can be applied later.Once per template.
EmailOptional
Each attendee's own address — useful when everyone needs their own confirmation or certificate rather than one to the booker.Once per template.
User nameOptional
An attendee's Wapoka username, which ties the place to a real account.Once per template.

The other question types — Short Text, Paragraph, Single Choice, Multiple Choice, Dropdown, Date and Time — are available in both sections, as many times as you like. Short Text can also carry a validation rule (Number, Email, Mobile number or Username) so people cannot type nonsense into it.

The link to event creation is what ties this together. When you create an event you pick a template in step 1. Then in step 4, ticking “Collect attendee info” on a participant category lets you choose which of that template's Attendees Info questions apply to that category — so children and adults can be asked different things, from one template.

    Open Events, tap the three-dot menu, then Form Templates.

    Tap Create New Template.

    Name it and describe what it is for, and choose the community it belongs to.

    Add your Basic Details questions — the once-per-booking ones.

    If you need per-person answers, add an Attendees Info section and its questions.

    Mark anything essential as required, preview it as an attendee would see it, then save.

There is a second, separate kind of form: the membership questionnaire a community can ask people to complete when they request to join. Same idea — you choose the questions, and the answers arrive with the join request — but it is set up inside the community, not here.
