Create an event
A guided wizard from idea to published event — every step and field explained.
Creating an event is a guided wizard. Free events take four steps; choosing Paid Entry adds a fifth for your bank details. A progress bar across the top shows where you are.
Getting there

- The full description. Opens a rich-text editor, so you can use bold, lists and links.Your description and agenda share a combined limit of 1024 characters. A live counter shows what is left.
- Agenda (schedule)Optional
- An optional day-by-day schedule. Add days, then time slots with a start, an end and a note about what happens.Counts towards the same 1024-character limit as the description.
- For Which Community?Required
- Which community is running the event.Only communities where you are an admin or owner appear. Changing it resets your template and subgroup choices.
- Registration Form TemplateRequired
- The form attendees fill in when they register.Stays greyed out until you choose a community.
- For Which Subgroup?Optional
- Narrow the event to one sub-group rather than the whole community.Becomes required if you are not an admin or owner of the community.
- Entry TypeRequired
- Leave this on Free Entry — your event is free to attend.Paid Entry only becomes selectable if your community's plan allows paid events, which for most communities today it does not. If tapping Paid Entry appears to do nothing, that is why.

- How long it runs, in hours and minutes. Defaults to 2 hours.

- Where it is. Start typing and pick from the map suggestions so attendees get a proper location.

- Up to four images shown on the event page.JPG or PNG, around 342×222, each under 1 MB. At least one is needed.
- Event CategoryRequired
- Public events can be seen outside the community; Private ones cannot. Defaults to Public.
- Event adminsOptional
- Community members who can manage the event alongside you.You are already an admin, so you do not appear in the list.
- Coordinator name / Coordinator roleOptional
- People helping on the day, and what each one is doing — 'Registration desk', 'Catering'.If you add a coordinator, both fields are required and the role needs at least 2 characters.
- Create an event channel for participantsOptional
- Automatically makes a channel and adds ticket holders, admins and coordinators to it.
- Create a subgroup for Admins/CoordinatorsOptional
- A private space for the people running the event.
- Allow cancellations?Required
- Whether attendees may cancel their registration. Defaults to No.
- Cancellation policyRequired
- Your refund and cancellation rules.Only appears — and is only required — if you allowed cancellations.
- Event Terms & ConditionsRequired
- The terms attendees accept when they register. Shown on the event page.
Sponsors are switched on by default, so if you have none, turn the toggle off or tap Skip. Attendees see the sponsor's banner and website link, marked as sponsored.
Per sponsor
- Sponsor nameRequired
- Who they are. Required once sponsors are enabled.

- One image, ideally 16:9.JPG or PNG.

- What they contributed, for your own records.

- The total number of people who can register for the event, across every category.A whole number greater than zero.
- Participant CategoriesOptional
- Optional. Different kinds of attendee — adults, children, members, guests — so you can cap them separately and ask each group different questions.Skip this entirely if everyone attending is the same to you. One overall limit is often all you need.
- Category NameRequired
- What this group is called, as attendees will see it when choosing — “Adult”, “Child (under 12)”, “Member”.
- Set LimitOptional
- Tick to give this category its own fixed cap, then type the number. Leave it unticked and the category has no cap of its own — it can take up to the whole overall limit.If you tick it, the number must be greater than zero.
- Collect attendee infoOptional
- Tick to ask questions about every single person attending in this category, not just the person doing the booking.Once ticked you must pick at least one field. See “What happens at registration” below.
“Collect attendee info” is the setting people most often misread, so it is worth being precise. The chips you choose here come from the Attendees Info section of the registration form template you picked in step 1 — and those questions are asked once for every attendee, not once per booking.
- Nothing appears in the chip list? You have not chosen a template yet, or the template has no Attendees Info section. Go back to step 1.
- Tick only what you genuinely need for that category. You are choosing which of the template's attendee questions apply here.
- Different categories can ask different things — children might need a guardian's name, adults might not.
Finally you get a full preview of the event exactly as attendees will see it, including your registration form. Tick the box confirming you accept the terms — publishing is blocked without it — then tap Publish Event.
